The Associate, Contract Administration I will provide high-level administrative support to the Legal Contracts team, managing a diverse range of legal administrative needs including the contract request and assignment process and file maintenance, with limited supervision. 

The Associate, Contract Administration will interact with all levels of management throughout the organization necessitating tact, diplomacy, discretion and good judgment.

The Associate, Contract Administration I will serve as the first line response to all contract requests and process related questions from the business partners, as well as requests for copies of executed agreements.  This position requires flexibility to meet changing business objectives; and the ability to set priorities. 

The Associate, Contract Administration I will also provide ad hoc training to the business partners on the Company’s contract management system.

  • Produce high quality and accurate work with minimal oversight from Associate Director, Manager, Contract Coordinators and/or attorney supervision.

  • Measure performance against objectives established by the Company, Legal Department and Associate Director, as well as department established goals.

Knowledge and Skills:

  • Knowledge of:
    • Basic Legal terminology, administrative and contract processes (preferably, within a pharmaceutical company);
    • Records and file organization and use;
    • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Skills:
    • Excellent organizational, communication, time management and multi-tasking skills;
    • Ability to prioritize in a fast-paced and changing environment;
    • Strong proficiency in Microsoft Office Suite (including Word, Excel, PowerPoint, and Outlook) as well as use of the Internet for research;
    • Understanding of legal processes and procedures;
    • Strong attention to detail;
    • Adept at learning new computer systems/programs.

  • Ability to:
    • Maintain a high level of confidentiality and ethics;
    • Work independently;
    • Understand the processes and procedures associated with the administration of contracts and filing needs;
    • Exercise initiative and sound judgment;
    • Follow instructions;
    • Prioritize tasks and maintain efficiency;
    • Identify opportunities for improvement and development.

      Responsibilities include, but are not limited to:

  • Receipt, triage and assignment of contract requests from the business partners to the relevant Contract Coordinator;
  • Ensuring that all contract tracking, file creation and follow-up requests are completed on a timely basis;
  • Maintaining contract files for assigned Contract Coordinators, including:
    • Upload fully executed contracts into the SharePoint system;
    • Enter signature information into the Company’s systems;
    • Add URL link to contract management system from SharePoint;
    • Ensuring that all file names conform to the approved naming convention;
    • Add document retention dates to all contract files.
  • Creating, filing and maintaining all hard copy contract files in the Legal file room including filing completed contracts from the Contract Coordinators and ensuring compliance with the Company’s document retention policy.
  • Handling of mailings outside of company (via first class mail. Fed Ex, UPS), and other administrative duties related to contracts (i.e. Xeroxing and scanning)
  • May assume other duties as required/needed
